Procedures for Non-Credit Programs

ACCOMMODATIONS

To request an accommodation, please reach out to Training and Development at okc.tdc@okstate.edu. Training and Development will work with the Disability Services and Diversity Office to assist with arranging accommodations.

ASSESSMENT

The department integrates assessment into its operations to solicit feedback from stakeholders. Training programs include surveys to gather learner feedback and to determine alignment with the Campus-Wide Student Learning Outcomes: Critical Thinking, Effective Communication, Computer Proficiency, Civic Responsibility, and Global Awareness. In partnership with Institutional Effectiveness and Accreditation, the department plans to review certification and testing data when applicable/available. The department also gathers instructor feedback through surveys and engages in advisory committees for perspectives on workforce and industry needs.

ATTENDANCE

Learners are expected to attend all training sessions and be in training sessions on time whether attending in-person or online. Instructors will record attendance for every training session to account for in-person and online learners. Remote learning is recorded as being in attendance if the learner participates in the online lessons during the allotted time frame. Learners are asked to contact their instructor via email to report that they will be absent or late and are expected to make up all work missed during the absence.

COMPUTER/INTERNET REQUIREMENTS

All learners are required to have access to a personal computer with internet access. Learners who do not own a personal computer are responsible for ensuring that they have access to a computer at a time when work can be completed and must have access to download and install software, as needed, for programs.

GUESTS

Guests (including children) are not permitted in training sessions. Only registered participants may attend the training sessions. For questions about guests related to approved accommodations, please contact Training and Development at okc.tdc@okstate.edu

INSTITUTIONAL HOLIDAYS/WEATHER CLOSURES

Training and Development follows the calendar of the institution and will observe the holidays and closures of the institution. In the event of weather closures, Training and Development will notify participants of the closure. Participants can also visit the institution’s website for information about closures. 

PAYMENTS

Learners are not registered in programs until payments are received. Courses are designed for learners to register using a credit card. To make payment arrangements from a company, employer, or other organization, please reach out to Training and Development at okc.tdc@okstate.edu. Training and Development will not facilitate tuition reimbursement. For tuition reimbursement, the learner will need to pay with a personal credit card and arrange the reimbursement with their employer/institution. 

PROGRAM-SPECIFIC REQUIREMENTS

There may be special requirements or procedures for certain training programs depending on the program’s type and/or any certification considerations. Information about specific requirements for programs will be available on the program’s webpage. For questions about a particular program, please reach out to Training and Development at okc.tdc@okstate.edu.

REFUNDS

To request a refund, contact Training and Development at OSU-OKC in writing at okc.tdc@okstate.edu at least 24 business hours (Monday-Friday) before the start of the class. Refunds will not be granted after this deadline. Additionally, refunds will not be provided for non-attendance or the inability to complete the coursework. Refunds are not available for books, course materials, or service/transaction fees. Learners may request to transfer their paid course registration to another training program depending on the program’s availability, cost, schedule, registration, and any other related factors. If the request to transfer is approved and the learner transfers to another course, a refund will not be available after the transfer. Learners/organizations may request to transfer their paid registration to another learner. This request must be made in writing to okc.tdc@okstate.edu. OSU-OKC will review all transfer requests on a case-by-case basis and must approve it in advance. Transfers that do not follow this process will be canceled. 

REGISTRATION DEADLINES

To register for a training program, registration and payment must be received 7 business days (Monday-Friday) before the first session starts. Each training program requires its own registration and payment. Any fees to ship materials overnight or rush shipping are the responsibility of the student. Once a training program has started, a learner may petition to be added to the training program late, but approval will be dependent on processes, availability, and instructor approval to exceed session capacity, if applicable.

REQUESTS TO LEAVE/DISCONTINUE A PROGRAM

Learners may request to be removed from a training program and must make this request in writing to okc.tdc@okstate.edu. If learners are requesting a refund, this request must be at least 24 business hours (Monday-Friday) before the start of the class in alignment with the refund procedure. Learners may request to leave or discontinue a training program after the refund deadline but will not receive a refund. Students who have received scholarships, grants, or educational benefits are responsible for notifying the issuing organization of their request to leave/discontinue a program. Reimbursement of funds is the responsibility of the student. If applicable, any school property associated with the training program must be returned at the time of program discontinuation. Non-attendance does not constitute a request to leave/discontinue a training program. 

STANDARDS OF SATISFACTORY PROGRESS

Non-credit training programs are not designed for grading outcomes. However, to complete a non-credit training program, learners must maintain satisfactory progress through the completion of the program. The minimum standard for satisfactory progress is 70%. Satisfactory progress is determined whether a student attends in-person, online, or a combination of both (hybrid). There may be cases when certain training programs have higher requirements for satisfactory progress depending on training type, certification requirements, or other considerations.

TRAINING CANCELLATIONS

Program schedules are maintained as closely as possible, but unforeseen circumstances can occur. In the event of any necessary session cancellations, communication will occur as soon as possible. If a program is canceled in its entirety, registrants will be notified with options to register in the next offering, apply the payment to another training, or request a refund. In the event of COVID-related cancellations, the institution’s COVID plan will be followed, and refunds will not occur for programs that modify schedules or have a transition in modalities due to the institution’s COVID requirements. 

TRAINING CAPACITY

OSU-OKC will generally require a minimum of 10 students to run a training program and will usually be at training capacity with 30 students. There are occasions when session sizes will vary for training needs, including customized training programs or speaking engagements, and OSU-OKC will keep updated training session information available on the website for specific training programs.
