Registrar Frequently Asked Questions

How long does it take for my transfer work to be posted?

Once a student has enrolled in OSU-OKC and submitted official transcripts from other schools attended, the Records office will evaluate their transcripts and award applicable transfer credit to their OSU-OKC transcript. Students will receive a message via their OSU-OKC email account confirming the transfer credit applied, and can review transfer credit awarded from their Academic Transcript in Student Self-Service. We receive a high volume of transfer transcripts and it may take several weeks for transfer credit to be evaluated.

What types of credit for prior learning does OSU-OKC award?

Visit our extrainstitutional learning credit brochure or the Academic Regulations section of the OSU-OKC Catalog for more information.

I was put on Academic Probation this semester—what does that mean?

Academic probation means that a student’s overall (graduation/retention) GPA has fallen below 2.0. Students placed on probation must earn a minimum semester GPA of 2.0 in the following semester to continue attending OSU-OKC. Once a student on academic probation achieves a 2.0 overall GPA, they will be in good academic standing. If a student fails to meet the 2.0 minimum semester GPA after being placed on academic probation, they will be placed on Academic Suspension.

What is Academic Suspension? Can I come back to OSU-OKC?

Students placed on academic suspension for the first time must sit out one regular 16-week fall or spring semester before they are eligible to return to OSU-OKC. Student placed on academic suspension for a second time are suspended indefinitely and may not return to OSU-OKC until they have attended another institution and brought their overall GPA up to a 2.0 minimum.

How many classes can I repeat for Grade Replacement?

A student shall have the prerogative to repeat a course up to 4 attempts, including the initial attempt, to achieve a higher grade. Only the highest grade earned of the 4 attempts will be used in the calculation of the GPA. Any attempt after the first 4 attempts will be used in the calculation of the GPA. All attempts shall be recorded on the transcript with the earned grade for each course listed in the semester earned.

How long do I have to drop a class?

To see the current semester’s drop/add and refund deadlines, visit the Academic Calendar page. Students may drop a course online with no record on the transcript and a full refund through the first one-eighth of the duration of the course, as outlined in OSRHE Policy. After the refund period, a student may drop a course with an automatic grade of “W” and no refund through the 12th week of a 16-week term, the 6th week of an 8-week term, or proportionate periods for shorter courses. After the automatic “W” drop period, students may not drop a course and an official grade for the course will be assigned by the instructor at the end of the term.

Please Note: Short courses and other courses with start/end dates that differ from the main 16-week semester have unique drop/add and refund deadlines. To find the drop and refund deadlines for any course in Self-Service, click on the class title or CRN to access the Class Details, then click on the Drop/Add and Refund Deadlines tab.

When is the last day to get a “W” each semester?

After the last day to drop with a 100% refund and no grade, a student may drop a course with an automatic grade of “W” and no refund through the 12th week of a 16-week term, the 6th week of an 8-week term, or proportionate periods for shorter courses.

I need to completely withdraw from the semester. What do I need to do?

To completely withdraw from all classes at OSU-OKC, it’s best to first consult with Academic Advisement. They can assist you in completing a Withdrawal form.

I can’t access my O-Key, what do I do?

Contact the OSU-OKC Information Technology Services or visit the Technology Support Center located on the 1st floor of the Learning Resource Center (LRC) during office hours.

How and when do I apply for graduation?

Visit the Graduation website to access details on applying for graduation and commencement.

If I participate in the Commencement ceremony, does that mean I graduated?

No, Commencement is the university’s official recognition ceremony, but simply participating in Commencement does not guarantee that your degree or certificate has been or will be awarded. Graduation status can only be determined after final grades have been submitted after the end of your final semester and the university verifies that you have met all requirements. View your Degree Works audit to determine if you are on track to meet all requirements for your program.

When will I receive my diploma after graduation?

Degrees and certificates are awarded to official transcripts as soon as we can verify completion of all requirements after their final semester - often within two weeks after the term. Students can monitor their academic transcript from Self-Service to verify when their credential has been awarded and can request an official transcript to provide official verification of their earned degree until they receive their diploma. Diplomas are typically issued approximately six weeks following the end of their final semester.

I lost my diploma, may I order a replacement?

Yes. OSU-OKC graduates can order a replacement diploma or certificate from the OSU-OKC Parchment site.
